Booking Terms & Conditions

Deposit Policy

  • Provisional bookings will be held for 2 weeks, thereafter a 50% deposit is required to confirm the chalets.
  • The balance of payment is due not later than 15 days prior to arrival.
  • 100% Deposit must be paid for a 1 night stay or if arrival is only 7 days away.
  • Cancellation fees will be calculated on the total cost of the stay:
    • Forfeit 100% of total if a guest cancels 7 days before arrival.
    • Forfeit 50% of total if a guest cancels 21 days before arrival.
    • Forfeit 20% of total if a guest cancels 30 days before arrival.

 

Conditions

General:

  • Check in time is from 14h00, and check out time is by 19h00 or as otherwise advised by the lodge.
  • Rates are charged per night and are subject to availability and fluctuations. Rates are inclusive of tax.
  • Rates are for self-catering accommodation only unless otherwise specified.
  • Rates are only for a family group, larger group rates are available on request.
  • All plugs and adaptors, touch lights and other lights are the property of Bergsig Game Farm. Any of these items taken by guests will result in a fee.
  • Payment going through our Payment Gateway will secure full payment and debit the credit card used in making the booking. Booking will be non-refundable on cancellation or amendments. Credit card details on the website is merely to secure a reservation, and does not constitute payment in respect of the services to be provided by Bergsig Game Farm. Bergsig Game Farm reserves the right to debit your credit card with a cancellation fee equal to 1 night accommodation if a reservation is not cancelled by 11h00 on the day of arrival. Please check the Cancellation Policies when booking, to determine the payment policy.
  • The credit card used to confirm and pay for a reservation is required to be presented on check-in at the farm. An imprint of this card will be taken by the lodge on check-in, in order to prove the card was present. If your transaction requires further authentication e.g. Payment confirmation on your phone or an OTP (one time pin) then this transaction will be 3D authenticated by your bank and your credit card will NOT be required to be presented on check in.
  • All accommodation provided in terms of any booking made on this website will be subject to the standard terms and conditions of residence.
  • Certain special promotions and rates carry their own terms and conditions which apply accordingly.
  • Payment for any reservations or other activities rendered for which fees may be charged by Bergsig Game Farm shall be payable by you on departure from the farm in question or, where applicable, shall be debited to your account after departure.
  • The customer/client hereby agrees that online bookings constitutes an electronic transaction as defined in the Electronic Communications and Transactions Act 2002 and that a binding agreement has been concluded between the guest farm and the customer/client authorising the lodge to deduct or to debit the credit card for payments for services rendered to the customer/client. The hand signature of the customer/client shall not be required for authorisation purposes.
  • By clicking the “booking button”, the customer/client signifies and accepts all terms and conditions contained in Bergsig Game Farm’s website.

Rate Inclusions:

  • Accommodation stay per day
  • Self-drive game viewing (we suggest a high raised vehicle)
  • 10% discount for guests on selected activities
  • A small firewood starter pack is provided with check-in, guests are responsible for their own firewood and fire starters for the rest of their stay.

Rate exclusions:

  • Transfers to and from the airport
  • Flights and travel insurance
  • Laundry services
  • Food & drinks – Self catering units fully equipped, bed and breakfast not included.
  • Professional photography
  • Additional activities
  • Additional guests not related to initial booking for chalet
  • Vehicle entrance fees for additional guest visiting friends for a self-game drive experience.
  • Fire wood & fire starters (a small firewood starter pack is provided with check-in)

     

Merchant Terms and Conditions

  • 1. Detailed description of goods and/or services
    Bergsig Game Farm is a business in the hospitality industry that provides accommodation.
  • 2. Delivery policy
    Subject to availability and receipt of payment, requests will be processed within 7 days and delivery confirmed by way of email for e.g. booking number / booking voucher etc.
  • 3. Return and Refunds policy
    The provision of goods and services by Bergsig Game Farm is subject to availability. In cases of unavailability, Bergsig Game Farm will refund the client in full within 30 days. Cancellationby the client will attract a 20 % administration fee.
  • 4. Customer Privacy policy
    Bergsig Game Farm shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, “personal information” shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be downloaded from: http://www.polity.org.za/attachment.php?aa_id=3569.
  • 5. Payment options accepted
    Payment may be made via Visa, MasterCard, Diners or American Express Cards or by bank transfer into the Bergsig Game Farm bank account, the details of which will be provided on request.
  • 6. Card acquiring and security
    Card transactions will be acquired for Bergsig Game Farm via PayGate (Pty) Ltd who are the approved payment gateway for all South African Acquiring Banks. DPO PayGate uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no Card details are stored on the website. Users may go to www.paygate.co.za to view their security certificate and security policy.
  • 7. Customer details separate from card details
    Customer details will be stored by Bergsig Game Farm separately from card details which are entered by the client on DPO PayGate’s secure site. For more detail on DPO PayGate refer to www.paygate.co.za.
  • 8. Merchant Outlet country and transaction currency
    The merchant outlet country at the time of presenting payment options to the cardholder is South Africa. Transaction currency is South African Rand (ZAR).
  • 9. Responsibility
    Bergsig Game Farm takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website, customer service and support, dispute resolution and delivery of goods.
  • 10. Country of domicile
    This website is governed by the laws of South Africa and Bergsig Game Farm chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature, P.O.Box 335, Mossel Bay, 6500.
  • 11. Variation
    A Bergsig Game Farm may, in its sole discretion, change this agreement or any part thereof at any time without notice.
